What does custom CRM development cost?

Custom CRM development in the US typically costs between $30,000 and $150,000, with most landing between $50,000 and $120,000. The number is driven by how many workflows the system covers, how many other systems it integrates with, and how much existing data must be migrated: not by user count, which affects licensed products far more than custom ones.
The ranges, and what sits in each
Published figures vary wildly because they describe different things. These bands reflect what the scope actually contains rather than a headline number.
| Band | What it covers | Typical timeline |
|---|---|---|
| $25,000 – $50,000 | One department, one core workflow, one or two integrations | 2–4 months |
| $50,000 – $120,000 | Several departments, multiple integrations, data migration, reporting | 4–7 months |
| $120,000 – $250,000+ | Operations-wide system, complex business rules, ERP-adjacent scope | 7–12 months |
What actually moves the number
Number of distinct workflows. Each one is discovery, build, testing and training. This is the single largest driver.
Integrations. Every system the CRM must talk to adds work, and the cost is driven by how awkward the other system's API is rather than by how important the integration feels.
Data migration. Clean data from one source is straightforward. Fifteen years of history across three systems with inconsistent formatting is a project in itself.
Business rules. Pricing logic, approval chains and conditional routing are where estimates go wrong, because they are usually described as simpler than they are.
User count barely matters. This is the biggest difference from licensed software, where per-seat pricing makes headcount the dominant cost.
When a build is cheaper than licensing
Compare against five-year total cost, not first-year cost. A licensed platform at $90 per seat per month across 40 users is roughly $43,000 a year, or $216,000 over five years: before implementation, before add-ons, and before the annual increases.
A custom system has a higher first-year cost and a much lower ongoing one: hosting, plus maintenance typically running 15–25% of the build cost annually.
The crossover point depends mostly on headcount. Below about 15 users, licensing usually wins. Above 40, a build frequently wins on five-year cost alone, before counting the value of a system that matches your process.
What we do not do
We do not publish a fixed price for custom work, because a fixed price quoted before scoping is either padded or about to be revised.
What we do instead is scope first, then quote fixed. The scoping is a real deliverable, a process map, an integration list and a written specification, and it is yours whether or not you build with us.
Common questions
Because they describe different scopes under the same label. A quoted $30,000 'CRM' covering one pipeline and a $200,000 system spanning sales, operations and finance are both accurately described as custom CRM development. Always compare what the scope contains rather than the headline number.
Hosting is usually modest, often under $200 a month for a system of this size. Maintenance and enhancement typically runs 15–25% of the original build cost per year, and that is a choice rather than a subscription: you can pause it.
Rates are lower. Whether the total is lower depends on how much rework the engagement generates. Senior rates in North America run roughly $70–200 an hour against roughly $45–75 blended for EU and Baltic teams: a real difference, but one that only translates into savings if the work does not need doing twice.
By scoping before pricing and pricing fixed against that scope. Changes are handled as explicit change orders rather than absorbed silently, so the number you approve is the number you pay unless you decide otherwise.
